1. Introduction
Wild Pets is a project of Wild Tiverton CIC. Wild Pets (“we”, “us” and “our”) is committed to protecting and respecting your privacy.
This Privacy Policy explains how we collect, use, store and protect personal information when you interact with Wild Pets, including through our website, programme applications, donations, fundraising, events, volunteering and correspondence.
Wild Tiverton CIC is responsible for the personal information collected through the Wild Pets project and is the data controller for this information.
2. Information we collect
We may collect personal information that you provide to us, including:
- your name, email address, telephone number and postal address;
- information submitted through Wild Pets applications and forms;
- information about participating children and their parents or guardians;
- communications you send to us, including emails and enquiries;
- information relating to donations and fundraising;
- photographs and video where appropriate permissions have been provided; and
- information about your preferences and involvement with Wild Pets.
For participating children, this may include information that is reasonably necessary to assess applications, administer participation, communicate with their family and safely deliver the programme.
Payment information provided when making a donation may be processed securely by our chosen payment provider. Wild Pets does not directly store full payment card details.
When you use our website, we may also collect certain technical information, such as your IP address, browser type, pages visited and information relating to cookies.
We may receive information from third parties, such as fundraising platforms, where you have agreed for your information to be shared with us or where there is another lawful basis for doing so.
3. How we use your information
We may use personal information to:
- process applications to Wild Pets programmes;
- manage participation by children and their families;
- communicate with parents, guardians, participants, supporters and volunteers;
- safely deliver Wild Pets activities and events;
- fulfil our safeguarding and animal welfare responsibilities;
- process and administer donations and fundraising activities;
- respond to enquiries;
- send newsletters and updates where you have chosen to receive them;
- manage volunteers; and
- promote the work of Wild Pets through photographs, videos and stories where appropriate permissions have been provided.
We will only use personal information where we have a lawful basis to do so. Depending on the purpose, this may include:
- legitimate interests, where processing is necessary for the reasonable and proper running of Wild Pets and does not unfairly override an individual's rights;
- legal obligation, where we need to process information to comply with the law;
- consent, where we have asked for and received specific permission to use information for a particular purpose; and
- other lawful bases where applicable.
We consider the interests and rights of children particularly carefully when deciding how their personal information is used.Where we rely on consent to process personal information, that consent may be withdrawn at any time by contacting us.
Photography, filming and other media permissions are addressed separately in the Parent/Guardian Agreement provided to families who are offered a place. These permissions are intended to allow the ongoing use of photographs, videos and recordings, including after a child's participation has ended. Any request to withdraw permission or restrict further use will be considered in accordance with the agreement and applicable data protection law. Material already published or distributed may not always be capable of being recalled.
4. Sharing your information
We do not sell or rent personal information.
We may share information where necessary with trusted organisations and service providers that help us operate Wild Pets, such as:
- website and hosting providers;
- payment and fundraising platforms;
- IT and communications services;
- professional advisers;
- organisations or professionals involved in delivering the programme; and
- relevant safeguarding, veterinary, ecological or other professional services where necessary.
Information may also be shared where necessary to fulfil safeguarding responsibilities, comply with the law or protect the welfare and safety of a child, participant, member of staff, volunteer or animal.
We will only share personal information where there is an appropriate reason to do so and will take reasonable steps to ensure that it is appropriately protected.
Where information is shared for safeguarding purposes, parental consent is not always required. Information may be shared without consent where this is necessary and lawful to protect a child or another person.
5. Cookies
Our website may use cookies, which are small files stored on your device.
These may include:
- Strictly necessary cookies, which are required for the website to function; and
- Analytics cookies, which help us understand how visitors use our website and improve their experience.
Where required, non-essential cookies will only be used with your consent.

6. How long we keep information
We only keep personal information for as long as it is reasonably necessary for the purpose for which it was collected, or where we are required or permitted to retain it for legal, financial, safeguarding or other legitimate reasons.
Different types of information may therefore be retained for different periods.

8. Security of your information
We take the security of personal information seriously and use appropriate measures to protect it against accidental loss, misuse, unauthorised access, disclosure or alteration.
Access to personal information will be limited to people who reasonably need it to carry out their role.
However, no transmission of information over the internet can be guaranteed to be completely secure.
9. International transfers
Some of the third-party services used to operate our website, communications or other aspects of Wild Pets may process personal information outside the United Kingdom.
Where personal information is transferred internationally, we will take appropriate steps to ensure that it is protected in accordance with UK data protection law.
10. Children's privacy
Wild Pets is designed to give young people opportunities to become actively involved in wildlife conservation. Our first programme is open to children aged 8–13.
We take the privacy and safety of children extremely seriously.
All applications, personal information and programme communications will be handled through the child's parent or legal guardian. Wild Pets will not contact participating children directly by email, telephone, messaging or social media.
During supervised programme activities, a child may share information verbally with a Wild Pets representative. Where this happens, we will handle any personal information appropriately and in accordance with our safeguarding responsibilities.
We will only collect information about children that is reasonably necessary to:
- administer applications;
- communicate with their parent or legal guardian;
- safely deliver the programme;
- meet our safeguarding responsibilities; and
- fulfil our other legitimate legal and organisational responsibilities.
We will take particular care when deciding how children's information is collected, used and shared, and will avoid collecting unnecessary personal information.
11. Photography, filming and stories
Photography, filming and publicity are part of the Wild Pets programme, and permission for these activities is a condition of participation in the Wild Pets programme.
Photographs, videos and recordings may be used for Wild Pets publicity, education, fundraising and communications, including through external media organisations. Further information is provided in our Terms & Conditions of Application.
Families who are offered a place will receive a full Parent/Guardian Agreement setting out the media arrangements in greater detail before they decide whether to accept.
Parents or legal guardians may raise concerns about the use of particular photographs, videos or stories, which Wild Pets will consider carefully.
We will never publish a child's home address, private contact details or other unnecessary identifying information that could compromise their privacy or safety.
12. Changes to this Privacy Policy
We may update this Privacy Policy from time to time to reflect changes to Wild Pets, our website, the services we use or legal requirements.
Any updated version will be published on our website with a revised date.
Where changes are significant, we will take reasonable steps to make users aware of them.

If you have concerns about how Wild Pets has handled your personal information, please contact us first at ali@wild-pets.org and we will do our best to resolve the issue.
You also have the right to make a complaint to the Information Commissioner's Office (ICO), the UK's independent data protection regulator.
